Online Application for Exchange Student Program under Agreement with Partner Universities (EAP program)

Documents to Prepare and Submit

All documentation must be written in English, or have an English translation attached (*Translations can be done by yourself), except for documents written in Japanese. No other language is acceptable.

Please DO NOT send any documents until you have proceeded to STEP 2 and completed the process there. The coordinator at your home university must send the application documents to us by the appropriate deadline. (See Application Deadlines and Schedule)



Documents for Uploading Only

STEP 1

A letter or statement from your home university confirming your nomination to study as an exchange student under the EAP program.

2. Academic Transcript (Undergraduate level): 6 Font_Purple_3.jpg

A certified academic transcript of all universities and colleges attended from freshman year to the present. (Grades and the credit numbers must be clearly written.)

3. Academic Transcript (Graduate level): 6 Font_Purple_3.jpg

A certified academic transcript of all universities and colleges attended from the first year of graduate school to the present. (Grades and the credit numbers must be clearly written.)

4. Recommendation Letter: 6 Font_Purple_3.jpg

This letter must be written and signed by the president, dean, department chair, supervisor or a faculty member of your home university on your school's letter head.

5. Approval Letter/Document from your prospective supervising professor (if applicable): 6 Font_Purple_3.jpg

Every student, including undergraduate students, must belong to a laboratory under a supervising professor at the University of Tokyo. As such, this is a letter or document from the professor who has accepted you to study in his/her lab as your supervisor during the EAP program.

However, since the main purpose of T-cens system is to get an approval from a desired supervising professor through the system, you suppose not to have the letter when you start the application process on T-cens. You will be obtaining the approval from a professor through the system in "Supervising Professor" section by the on line application deadline.

Therefore, this letter needs to be uploaded ONLY if you ALREADY attained an approval from the professor who has accepted you to study in his/her lab as your supervisor during the EAP program before you started applying through T-cens system. Documentation in the form of a letter or as a copy of e-mail correspondence is acceptable. (Please also see Application Procedures in the left-side navigation menu.)

STEP 2

1. Academic Application Form - PART 2: 6 Font_Purple_3.jpg

A set of documents to be downloaded, filled in, and uploaded again

2-1: Detailed educational background including expected completion date of graduate level studies for graduate level students and undergraduate level studies for undergraduate level students at your home university (if your school is party to the Five-year Master's program, please indicate the expected completion date of your five-year Master's program) which should be after completing your exchange studies at the University of Tokyo. If your school is part to Bologna Process, please see -> Bologna Process .
2-1a: A letter clarifying the reasons if you have spent fewer years in education than is standard if applicable.
2-2: Employment details in chronological order, starting from the most recent

★ At least 14 years of education including 2 years of Undergraduate level study are required to apply for Undergraduate level exchange study and 16 years of education to proceed to Graduate level exchange study.

2. Name in Katakana: 6 Font_Purple_3.jpg

We will apply for your University of Tokyo student ID card on your behalf. Your name will appear in Katakana, the Japanese script for foreign words, on the card. Katakana is purely a phonetic text and is useful to help Japanese people understand how to pronounce foreign words. Therefore, we need to know how to write your name in Katakana.

Some examples of Katakana usage are as follows:
Charles Chaplin → CHAPLIN, Charles
in Katakana: チャップリン チャールズ 
in Roman letters: CHAPPURIN CHARUZU

If you already know how to write your name in Katakana, please do so on this form. If you do not know how, please try by investigating the site below. The following homepage provides further information on Katakana usage:

Once you have figured it out, or if you are not sure, we recommend that you ask a friend who knows Japanese to check what you have written is appropriate or actually write your name in Katakana for you, or we will try to write it for you. Please note that without actually hearing how your name is pronounced, it would be easy to write this incorrectly. If, after you come to Japan, you find that the Katakana name on your student ID card does not correctly depict how your name should be pronounced, you can re-apply for an amended card after your arrival.

Must be on A4 size paper

4. JLPT Certificate (Undergraduate level students only): 6 Font_Purple_3.jpg

Undergraduate students must have JLPT 1-level knowledge of Japanese, because we only have a few lecture courses that are held in English at the undergraduate level. If you already have a certificate, please upload it on the T-cens Online Application System. If you do not have this certificate, please clearly state that you do have the equivalent level of Japanese language skill on Certificate of Japanese Proficiency. In this case, the Japanese proficiency certificate must be filled in and signed by an instructor of Japanese language or another appropriately qualified person.

5. Documents for CoE Application: 6 Font_Purple_3.jpg

Please refer to Certificate of Eligibility (CoE) for Visa Application in the left-side navigation menu.
★If you are going to come with your Japanese passport, you do not need to prepare this document.
★If you are applying first through "University-wide Student Exchange Programs (USTEP)", you do not need to prepare this document.


Documents to Submit by Post

1. Academic Application Form - PART 1: 6 Font_Purple_3.jpg

Prescribed application form which will be automatically filled in as you complete STEP 1 of the Academic Application on the T-cens Online Application System.

Please print it out in STEP 2 and sign the last page.

2. Three photographs (4 cm × 3 cm) of the applicant: 6 Font_Purple_3.jpg

When you send us the photos, they must be taken within the past THREE (3) months. The background must be solid and no shadow. It has to be printed on photo paper. And your name must be written in block letters on the back (one of them is for the Academic Application Form - Part 1)

3. C-3 Certificate of Family Relationship for CoE application
(ONLY applies to Chinese citizens excluding Taiwanese): 6 Font_Purple_3.jpg

Official document certifying their relationship to you.
★An original copy of the official "Notarial Certificate of Relationship" must be submitted if you have chosen Case C for your CoE application and are Chinese citizen. (Taiwanese students are excluded.)
